Would you wire money to a stranger with a nice website?

Would you send a deposit to someone you have never met if supplier verification in Kenya took just one visit? Most buyers abroad would wait. Yet many send the money first and hope.

The supplier has a smart website. The photos look great. The price is just a little better than anyone else.

Then the shipment is late. Then the phone goes quiet. Then you learn the warehouse in the photos belongs to someone else.

None of this means Kenyan suppliers are risky. Most are honest and hard working. The problem is that a fake and a real business can look the same from far away.

We have heard this story too often. It is why OnGround Africa offers supplier verification in Kenya. We go to the supplier, look around and tell you the truth before you pay.

Buyers abroad are not careless. They are simply far away. When you cannot walk into a shop or a factory, you are forced to trust words and pictures.

Supplier verification in Kenya changes that. It puts a real person in the room for you.

A short visit costs far less than a lost deposit. It also tells you if a good supplier is worth building a long relationship with.

What is supplier verification in Kenya?

Supplier verification in Kenya, the way we do it, means checking a supplier in person and on paper. We visit the address and look at the stock.

We talk to the people running the business. We watch how they work when a buyer is not in the room.

Then we check what we can in public records. We match what we saw against what the supplier told you.

The result is a short, honest report. You see photos, video and our view in plain words.

Who books supplier verification in Kenya with us?

  • Importers abroad buying Kenyan goods such as tea, coffee, crafts, textiles or produce.
  • Diaspora entrepreneurs starting a business back home and choosing suppliers.
  • Online sellers sourcing products to sell in other countries.
  • Companies checking a new distributor, contractor or partner.
  • Families buying building materials or equipment for a project at home.

Supplier verification in Kenya by type of goods

Farm produce. We look at where the produce is grown, stored and packed. We ask about volumes across seasons, since supply can change through the year.

Crafts and handmade goods. We visit the workshop and meet the makers where possible. We check that the samples you saw were made there.

Building materials. We check the yard, the stock and the quality marks. We compare what is on the shelf with what is on the quote.

Manufactured goods. We look at the production line, the packing area and the finished stock. We ask how they handle quality checks and returns.

Whatever you are buying, the question is the same. Is this supplier who they say they are? Supplier verification in Kenya answers it with facts.

8 checks in our supplier verification in Kenya

Every supplier is different, so we agree a checklist with you first. These are the eight checks we run most often.

  1. The address is real. We visit and confirm the business operates there.
  2. The business is registered. We check the name against company records where we can.
  3. The people match. The person you deal with works there and has authority to sell.
  4. The stock exists. We see and film the goods or the production line.
  5. The quality is as described. We compare samples with what you were promised.
  6. Quality marks are genuine. Where products carry a KEBS mark, we check it.
  7. Capacity fits your order. We ask how they would handle your volume and timeline.
  8. Others vouch for them. Where we can, we speak to neighbours or other customers.

You can add your own checks. Want us to weigh a sample or watch a packing run? Tell us before the visit.

Some clients send us a list of questions in their own words. We ask them exactly as written and record the answers. That way nothing gets lost in translation between you and the supplier.

We also note how the supplier treats us. A business that is patient with a visitor is often patient with a buyer. A business that rushes us out is telling you something too.

Not every check fits every supplier. A small craft workshop is not a factory. We adjust the supplier verification in Kenya checklist to the size of the deal.

How do you check a Kenyan company is registered?

Registration is one of the first things to check. A real business usually has a real registration.

Company records in Kenya are held by the Business Registration Service. BRS handles registrations, changes and status reports online. A status report, known as a CR12, shows who the directors and shareholders are.

A genuine supplier should be happy to share its registration details. If they refuse, treat it as a warning.

Tax registration

Businesses in Kenya also register with KRA. According to KRA, PINs for entities such as companies start with P0. Individual PINs start with A0.

Ask the supplier for its PIN certificate along with the company certificate. Compare the names on both with the name on the invoice and the bank account. They should line up.

A supplier who invoices as a company but gives you a personal PIN is worth a question. There may be a simple reason. You still want to know it before you pay.

We also look at the small things. Is the business name on the gate the same as on the invoice?

Does the phone number on the website ring inside the office we visit? These simple checks are part of every supplier verification in Kenya we do.

Paper checks alone are not enough. A registered company can still be a poor supplier. That is why supplier verification in Kenya always includes a visit.

Is that KEBS mark genuine?

Many Kenyan products carry a mark from the Kenya Bureau of Standards. It shows a product has been certified. Fake marks exist, so it is worth checking.

The KEBS quality assurance FAQ lists four ways to verify a Standardization Mark:

  • Through the KEBS website
  • Through the KEBS app on Google Play or the App Store
  • By sending SM# followed by the permit number by SMS to 20023
  • By calling the KEBS toll free number 1545

During supplier verification in Kenya we photograph the mark and permit number on the actual goods. Then we check it. You get the result with the photo.

A mismatch does not always mean a fake. It can be an old permit or a typing error on the packaging. Either way, you deserve to know before your goods are shipped under that mark.

Not every product needs a KEBS mark. Where it applies to your goods, it is one of the simplest checks you can make.

How does supplier verification in Kenya work with OnGround Africa?

The process is short and clear. You always know what is happening and what it costs.

  1. Send us the supplier details. Name, address, contact person, website and what you plan to buy.
  2. Get a written quote. Our fee, travel and any sample costs are shown before we go.
  3. Agree the checklist. You tell us what matters most. We add what we know to look for.
  4. We visit in person. We look, ask, film and take samples where agreed.
  5. We run the paper checks. Registration and quality marks where they apply.
  6. You get the report. Photos, video, answers and our honest view.

Some clients prefer we visit without warning. Others want the supplier to know we are coming.

Both work. We agree the approach with you first.

What is in your supplier verification in Kenya report?

  • Date, time and location of the visit with a map pin
  • Photos of the premises, signage, stock and staff areas we were allowed into
  • Short videos of production or storage
  • Results of registration and quality mark checks
  • Answers to every question on your checklist
  • Any red flags and what they might mean
  • Our honest view and suggested next steps

The summary sits at the top. You can read it in five minutes and share it with partners. The detail is there when you need it.

We also keep your name private if you prefer. Some buyers do not want suppliers to know who is asking until they are ready to talk. We respect that.

If you are comparing several suppliers, we can visit them in one trip. That makes supplier verification in Kenya more affordable and gives you a fair comparison.

What red flags show up in supplier verification in Kenya?

Experience shows the same warning signs again and again. These make us slow down and dig deeper.

  • The address is a shared office with no sign of the business
  • The stock in the photos is nowhere to be seen
  • Staff do not know the person you have been dealing with
  • The supplier asks for full payment upfront for a first order
  • Bank details are in a name that does not match the business
  • The price is far below every other supplier
  • The supplier refuses a visit or keeps moving the date
  • Quality marks do not match the products they appear on

What a good supplier usually looks like

  • Happy to have you visit and show you around
  • Registration and tax details shared without fuss
  • Bank details in the business name
  • Clear answers about capacity and timelines
  • Willing to start with a smaller trial order
  • Other customers who will speak about them

Many Kenyan suppliers tick every box. Supplier verification in Kenya is not only about catching bad ones. It helps you build trust with good ones faster.

One red flag is not always proof of fraud. Small businesses can be informal and still honest. But you deserve to know before you pay.

When we find something serious, we message you straight away. You do not wait for the full supplier verification in Kenya report.

Can you source new suppliers in Kenya for me?

Yes. Sometimes you do not have a supplier yet. You know what you want and need someone on the ground to find it.

We can look for options, visit them and report back with a short list. Each supplier on the list goes through the same checks.

  • You tell us the product, volume and budget
  • We find and visit possible suppliers
  • We report on each one with photos and notes
  • You choose who to talk to further

Sourcing takes a little more time than checking one supplier. It is still faster than trying to find suppliers from abroad through websites and social media alone. Supplier verification in Kenya is built into every name on the list.

Our short lists are honest. If we only find one supplier worth your time, we tell you that rather than padding the list. If we find none, we tell you that too and explain why.

We never take commission from suppliers. Our only client is you. That keeps our supplier verification in Kenya honest.

Ongoing supplier checks

A good first visit is a great start. Things can still change over time. Staff leave, stock runs low and quality slips.

Some clients book a check before every large shipment. Others book a visit every few months. Regular supplier verification in Kenya keeps standards high and shows the supplier you are paying attention.

Small follow up tasks, like collecting a sample or dropping off a contract, may fit our errands in Kenya service. Read more on our OnGround Africa pricing page.

What our supplier verification in Kenya does not cover

Clear limits are part of honest work. Here is what we do not do.

  • We do not run laboratory tests. Where you need one, we can deliver samples to a lab you choose.
  • We do not give legal advice on contracts. We bring in a licensed Kenyan advocate where you need one.
  • We cannot promise a supplier will perform. We tell you what we see on the day.
  • We do not handle your payments to the supplier.

We also cannot see everything in one visit. A supplier can have a good day when we arrive. That is why many clients repeat supplier verification in Kenya before each large order, not just the first.

What we do is go, look and report honestly. That alone stops most bad deals before they start.
