Has someone abroad asked for a stamp you have never heard of?

Did a university, employer or immigration office just ask you for an apostille in Kenya and leave you wondering where on earth to get one? You are in good company. It is one of the most confusing requests Kenyans abroad receive.

The word sounds official. The office asking for it sounds sure, as if an apostille in Kenya were a simple counter service. Yet when you search for an apostille in Kenya, you find mixed answers, agents with big promises and no clear route.

Here is the honest picture. We checked the official sources so you do not have to guess.

Picture this

Imagine a graduate in Nairobi with a place at a university in Spain. The admissions team asks for an apostille in Kenya on her degree and KCSE certificate. She has six weeks and lives in Mombasa.

She does not need a stamp that does not exist.

She needs the right offices in the right order. She also needs someone in Nairobi to walk the papers through them. That is the job we do.

OnGround Africa is your person on the ground in Kenya. We take your documents through the right Nairobi offices, follow up in person and courier them to you abroad.

We are not lawyers, not a government agent and not an embassy. We are the trusted pair of hands that queues, submits, collects and sends, with photos at every step.

The short answer

Kenya is not listed on the official status table of the Hague Apostille Convention when we checked. So in practice, an apostille in Kenya is replaced by a two step route: authentication by the Ministry of Foreign Affairs, then legalisation by the embassy of the country that will use the document.

The rest of this page explains what that means, how it works and how we help.

Stamped certificate on a desk after the apostille in Kenya authentication route

What is an apostille and why does Kenya work differently?

An apostille is a certificate that confirms a public document is genuine. It comes from a treaty called the Hague Apostille Convention of 1961.

When two countries are both members, a document from one can be used in the other with just one apostille stamp. No embassy visit is needed.

Is Kenya a member?

The Hague Conference publishes a status table of member states for the Apostille Convention. When we checked it, Kenya was not listed.

That is why a true apostille in Kenya is not something you can simply order.

We always check the table again before advising, since membership can change. If Kenya joins, the apostille in Kenya route will become simpler and we will update this page. Anyone promising a quick Kenyan apostille stamp should be asked exactly which office issues it.

So what do you get instead?

Kenya uses authentication and legalisation. It is the older route that the apostille was designed to replace.

  • Step one: the office that issued your document certifies it
  • Step two: the Ministry of Foreign Affairs authenticates it
  • Step three: if required, the embassy of the receiving country in Nairobi legalises it

When people say apostille in Kenya, this three step route is usually what they actually need.

The result does the same job. It shows the receiving country that your Kenyan document is real. It just takes a few more stops, which is exactly where a person on the ground helps.

Which office handles the apostille in Kenya route?

The key office is the Legal and Host Country Affairs Directorate of the Ministry of Foreign Affairs. Its authentication procedure page sets out the steps, the documents and the fees.

The page says the issuing authority must first certify the document. Only then does the ministry authenticate it.

Who certifies what first

DocumentCertifying office named by the ministry
Academic certificatesMinistry of Education
Birth and death certificatesRegistrar of Births and Deaths
Marriage certificatesRegistrar of Marriages
Police clearance certificatesDirectorate of Criminal Investigations
Powers of attorney and notarial documentsRegistrar of the High Court
Driving licencesNational Transport and Safety Authority
Medical reportsKenya Medical Practitioners and Dentists Council
Court ordersSeal of the issuing court
Trade documentsKenya National Chamber of Commerce and Industry

The page adds some useful details. Original academic certificates must be certified and stamped by the Director of Quality Assurance and Standards. Police clearance certificates are authenticated as they are.

For new generation smart driving licences, the page says an NTSA letter must come with the licence. Powers of attorney must be notarised and come with a letter confirming the notarising advocate’s status.

Urgent cases

The ministry page says the directorate handles urgent cases, such as people travelling abroad for medical treatment, on a priority basis. If your apostille in Kenya request is urgent for a reason like this, tell us so we can raise it at the counter.

Get this first step wrong and the whole apostille in Kenya route stalls. We check which certifying office applies to each of your papers before anything is submitted.

How does the apostille in Kenya process work step by step?

Here is how the authentication route usually runs when we handle it for a client abroad. It is the practical answer to anyone asking for an apostille in Kenya.

  1. You tell us the receiving country and purpose. Study, work, marriage or residence each have their own rules.
  2. We confirm what the receiving office wants. Ministry authentication only, or embassy legalisation too.
  3. Your documents reach us. Either you courier the originals, or we collect them from the issuing office where an agent is allowed.
  4. We take each document to its certifying office. For example, the Ministry of Education for degrees.
  5. We submit at the ministry counter. The ministry page says submissions go to Counter 39, Huduma Centre, City Square, Nairobi.
  6. We collect once ready. The ministry says processing takes within two working days.
  7. We take it to the embassy if needed. Each embassy sets its own rules and fees.
  8. We courier the finished documents to you. With tracking and photos before sealing.

Submission days matter

The ministry page says documents are accepted on Mondays, Wednesdays and Fridays only, at 0900hrs. Miss the slot and you lose days.

We plan our week around those days so your apostille in Kenya route keeps moving. You get a photo of the receipt and collection slip the moment they are issued.

What does the ministry charge for authentication?

The ministry lists its fees per copy on its authentication page. These are government fees, separate from our own fee.

DocumentMinistry fee per copy (KSh)
Academic certificate, original200
Academic certificate, copy100
Birth or death certificate200
Police clearance certificate200
Driving licence200
Marriage entry200
Medical report200
Adoption certificate500
Court order500
Power of attorney500
Notary public document500
Trade document, original600
Trade document, copy300

These are the figures on the ministry page when we checked.

They make the government side of an apostille in Kenya fairly cheap. The real cost is time and travel. We confirm them again on the day and show you the receipt.

Certifying offices and embassies charge their own fees. We tell you those once we confirm them, so your apostille in Kenya budget has no surprises.

Which documents need an apostille in Kenya most often?

Almost any public paper can need this route. These are the ones people most often bring to us when they ask about an apostille in Kenya.

Academic certificates and transcripts

Universities and employers abroad often ask for authenticated degrees, diplomas and KCSE certificates. These go through the Ministry of Education first.

Police clearance certificates

Visa and job applications often need a certificate of good conduct that is authenticated. See our certificate of good conduct from abroad page for the full process.

Birth and marriage certificates

Needed for spouse visas, citizenship files and school places for children. If you still need the certificate itself, read about getting a Kenya birth certificate from abroad.

Powers of attorney

Used when a Kenyan document must act for you in another country. Our power of attorney in Kenya page explains how these are drafted with a licensed advocate.

Business and trade papers

Company certificates and trade documents for buyers, banks or tenders abroad. These may need the chamber of commerce stamp before the ministry sees them.

Whatever the paper, the same question applies. Has it been certified by the right office first? Without that, no apostille in Kenya route can begin.

Do you need embassy legalisation after authentication?

That depends entirely on the country receiving your document. Some accept the ministry stamp alone. Others want their own embassy in Nairobi to add a stamp too.

How to find out

Ask the office that will receive your document. Ask them in writing. Ask for the exact words they want to see on the stamp.

Then share that reply with us. We read it with you and plan the route.

What we do at embassies

  • Book or join the queue where the embassy allows agents
  • Submit the authenticated document with any forms the embassy needs
  • Pay the embassy fee on your behalf, with the receipt shown to you
  • Collect the legalised document and photograph it

Embassy rules change more often than ministry rules. We check each embassy’s current process before planning your apostille in Kenya route.

Some embassies only accept the document owner in person. If that is the case, we tell you early. You can then plan another route before any money is spent.

This last step is what people really mean when they ask for an apostille in Kenya. It is the stamp that makes the receiving country comfortable.

What about documents coming into Kenya from abroad?

Sometimes the paper flows the other way. You have a foreign degree, marriage certificate or company document that a Kenyan office wants to see.

If your document comes from a country that is a member of the Apostille Convention, it may carry an apostille from that country. Whether a Kenyan office accepts that alone is for the receiving office to say, since Kenya was not on the status table when we checked.

Ask the Kenyan office before you send anything. Some also want the Kenyan embassy in the country of issue to stamp the document.

Where we come in

  • We visit the Kenyan office and ask what it accepts
  • We receive your documents in Nairobi by courier
  • We hand them in and follow up in person
  • We send you photos and updates on WhatsApp

This saves you sending a document halfway round the world only to hear it needs one more stamp.

It also means one person tracks both directions. If you need an apostille in Kenya for papers going out and help with papers coming in, we handle both in one plan. It is the reverse side of the apostille in Kenya puzzle.

Apostille in Kenya questions by destination country

Every receiving country has its own habits. Here is what our clients usually run into, though the receiving office always has the final word.

Kenyans heading to Canada

Canada joined the Apostille Convention, with the Hague Conference status table showing entry into force on 11 January 2024. Kenya was not on that table when we checked. So a Canadian office may still ask for Kenyan papers to be authenticated and legalised rather than carry an apostille in Kenya.

Read more on our page for Kenyans in Canada.

Kenyans heading to the Gulf

The United Arab Emirates was not listed on the status table when we checked either. Gulf employers often ask for ministry authentication followed by their own embassy stamp in Nairobi.

Kenyans heading to the UK, the USA or Europe

Offices in these places often know the apostille system well. They may be surprised that an apostille in Kenya is not available.

Share this page or the ministry page with them. Then ask what they accept for documents from a country outside the convention.

Students applying anywhere

Universities sometimes ask for authenticated transcripts sent straight from the school. Ask whether a sealed envelope from your university, plus ministry authentication, meets their rule.

A tip that saves weeks

Write to the receiving office once with three clear questions:

  • Do you need ministry authentication?
  • Do you need your embassy in Nairobi to stamp it too?
  • How recent must the document be?

Their reply tells us exactly how to plan your apostille in Kenya route.

What does it cost?

We quote in US dollars. Our fee covers our own running. Ministry, certifying office and embassy fees are added at cost with receipts.

ServiceOur fee (USD)
Errand in Nairobi, such as one authentication runfrom $50
Document pickup and courier abroad$75 plus courier at cost
Certificate of good conduct support$120
Power of attorney coordination$150 plus advocate fees
Urgent same week serviceadds 25 percent

A simple apostille in Kenya route with one document and one ministry visit is usually quoted as an errand. Extra certifying offices or an embassy visit are added in your written quote.

You get that written quote first. You pay only after you approve it.

Clients can pay by card, PayPal, bank or M Pesa. We confirm payment options with your quote. See all our fees on the pricing page.

Why use us instead of an agent who promises a quick stamp?

Be careful with anyone who sells a fast apostille in Kenya without naming the office that issues it. If the route does not match the official process, the document may be refused abroad.

We do it the plain way. The right certifying office first, then the ministry, then the embassy if needed.

That is slower than a promise. It is also the only apostille in Kenya route that holds up when an officer abroad inspects the stamp.

Questions people ask

Can I get an apostille in Kenya?

Kenya was not listed on the Hague Apostille Convention status table when we checked. In practice Kenyan documents go through Ministry of Foreign Affairs authentication, then embassy legalisation if the receiving country asks for it.

Where does the ministry accept documents?

The ministry page says Counter 39, Huduma Centre, City Square in Nairobi. It accepts submissions on Mondays, Wednesdays and Fridays at 0900hrs.

How long does authentication take?

The ministry says processing takes within two working days after submission. Certifying offices and embassies have their own timelines, which we confirm for your case.

Do I need to be in Kenya?

Usually not. You courier the originals to us or we collect them where an agent is allowed. Some embassies need the owner in person. We tell you early if that applies.

Does my degree need certifying first?

Yes. The ministry says original academic certificates must be certified and stamped by the Director of Quality Assurance and Standards at the Ministry of Education before authentication.

What does the ministry charge?

Its page lists fees per copy, such as KSh 200 for a police clearance certificate or birth certificate and KSh 500 for a power of attorney. We confirm on the day and share the receipt.
