Is one missing certificate holding up a passport, a school place or a visa?
Is a Kenya birth certificate from abroad the one paper standing between your child and a passport? Or between you and a citizenship file, a pension claim or a spouse visa?
Getting a Kenya birth certificate from abroad feels like it should be simple. You were born, so there is a record.
But when you live overseas, getting that record printed, corrected or replaced can drag on for months.
For example, the original may be lost in a move or have a spelling error nobody noticed for twenty years. Your baby may have been born in Manchester or Houston and never registered in Kenya at all.
OnGround Africa is your person on the ground in Kenya. We help you get a Kenya birth certificate from abroad by handling the Nairobi side: the counters, the follow ups, the collection and the courier.
We are not a government office, not lawyers and not an immigration agent. Where a legal step is needed, such as a court order to change a name, we bring in a licensed Kenyan advocate.

Which kind of Kenya birth certificate from abroad do you need?
Before anything else, work out which situation you are in. Each one follows a different path, so mixing them up wastes weeks.
1. You were born in Kenya and lost the certificate
You need a replacement, often called a duplicate. This is the quickest kind of Kenya birth certificate from abroad in most cases. The record already exists in Nairobi.
Someone just has to find it, then print a fresh copy.
2. Your child was born outside Kenya
You need to register the birth with Kenya. This is the classic Kenya birth certificate from abroad request from new parents overseas.
3. You were born in Kenya but never registered
This is late registration. A Kenya birth certificate from abroad by this route needs extra proof that the birth happened and is often slower.
4. Your certificate has a mistake
For example, a wrong spelling, a missing parent’s name or a wrong date. Correcting a record usually needs supporting papers and sometimes a court order.
5. You need copies for use overseas
You have the certificate but a foreign office wants it certified or authenticated. That is a different job, so see further down this page.
First, tell us which one fits you. If you are not sure, send a photo of what you have and we will help you work it out.
A quick way to tell
- You have an old copy or remember seeing one: it is probably a replacement
- Your child was born in another country: it is a registration of a birth abroad
- Nobody in the family ever had a certificate for you: it may be late registration
- The certificate exists but something on it is wrong: it is a correction
Each answer leads to a different form, a different office and a different wait. Getting this right on day one is the biggest time saver for a Kenya birth certificate from abroad.
What if you need more than one?
Families often need several at once, for example a parent’s certificate for an estate, a child’s registration and a replacement for yourself. So we can run them together, share one courier and keep one tidy file for you on WhatsApp.
How do you register a child born abroad with Kenya?
Huduma Kenya has a service page for births that happen outside Kenya. It says the service is available at Sheria House in Nairobi and that the completed application can also be submitted at Kenya missions abroad.
What the Huduma page lists as requirements
- The foreign birth or medical certificate, with a certified English version if it is in another language
- A medical certificate from the doctor, nurse or midwife who attended the birth
- The parent’s passport
- A marriage certificate, where applicable
- A travel certificate for the child, if the child is not endorsed in a parent’s passport
The same page lists a fee of KSh 60 and a timeline of 10 days. Those are the figures it shows and we confirm them again before you apply.
What embassies say
Kenyan missions publish their own checklists for a Kenya birth certificate from abroad. The Kenya Embassy in Bern asks for a signed birth registration form called BDA1, copies of both parents’ passports and Kenyan IDs and certified copies of each parent’s birth certificate.
The Bern page also warns that processing may take up to three months and more when applying through the embassy. So the route you pick affects the wait.
Which route is faster for you?
If you can get papers to Nairobi, submitting at Sheria House may suit you. However, if your mission is close and you prefer to apply in person, that may suit better. We help you weigh this for your Kenya birth certificate from abroad before you choose.
How do you replace a lost Kenya birth certificate from abroad?
A replacement is the most common Kenya birth certificate from abroad request we get. You were born at Pumwani, Kenyatta or a mission hospital upcountry and the certificate went missing somewhere between school and your move overseas.
Happily, the record should still exist. Instead, the work is in proving who you are and getting a copy issued.
What a replacement usually needs
The Bern embassy page gives one checklist for a duplicate. It asks for a cover letter, a certified copy of the original certificate, a police abstract reporting the loss or a statement explaining how it was lost or a completed search form.
If you have no copy at all, the search form route is the one to use. It also helps the registry find your entry using your names, your parents’ names and your date and place of birth.
Applications are made online through eCitizen. We guide you through the form on a call, so you keep control of your own account.
Details that make a search work
- Your full names exactly as given at birth
- Both parents’ full names, including any older spellings
- The date and hospital or place of birth
- Your old entry number, if you have ever seen it
The more of these you have, the faster a Kenya birth certificate from abroad replacement tends to move. Even a blurry photo of an old copy helps.
What about late registration and corrections?
These two are slower and more detailed, but a Kenya birth certificate from abroad by either route is still possible with the right help.
Late registration
If your birth was never registered, the registry needs proof that it happened. That can include clinic cards, baptism records, school records and statements from people who knew your family.
So gather what you can before you start. A Kenya birth certificate from abroad by late registration is built on paperwork, so the more you send, the stronger the file.
Correcting a mistake
Small errors are common, for example Mwangi spelt Mwangu or Wanjiru missing an i.
Then there is a father’s name left blank.
Some corrections can be made with supporting papers. However, others, especially changes of name, may need a court order or a deed. When that happens, we bring in a licensed Kenyan advocate to advise and handle the legal part.
Our role
- We visit the registry and ask what your case needs
- We collect forms and explain them in plain words
- We carry papers between you, the advocate and the office
- We follow up in person and report back with photos
We never give legal advice, but we make sure the people who do give it have everything they need for your Kenya birth certificate from abroad.
Where do Kenya birth certificate from abroad applications get stuck?
Most delays are not about the law. Instead, they are about small slips that send a file back to the start.
Names that do not match
Your ID, your passport and your parents’ records may spell names differently. Registries match records closely, so agree one spelling and explain any old variation in your cover letter.
Foreign papers not translated
A birth certificate in German, Arabic or French needs a certified English version, as the Huduma page says clearly.
Missing parent documents
A Kenya birth certificate from abroad for a child usually depends on proving at least one parent is Kenyan. So missing parent IDs or birth certificates stop the file cold.
Nobody following up
Files move when someone asks the right person on the right day. Otherwise, a form sitting in an inbox can wait for weeks.
Originals lost in the post
Never send originals by ordinary mail. Instead, use tracked courier both ways, as we do on every job.
We check all five points with you before anything is submitted. It is careful, unglamorous work, but it is what gets a Kenya birth certificate from abroad over the line.
Will the certificate need authentication for use overseas?
Many offices abroad accept a Kenya birth certificate from abroad as it is. However, others want proof the Kenyan government stands behind it.
The Ministry of Foreign Affairs authentication page says birth and death certificates are first certified by the Registrar of Births and Deaths. The ministry then authenticates them and lists a fee of KSh 200 per copy.
The page says documents go in at Counter 39, Huduma Centre, City Square in Nairobi. It accepts submissions on Mondays, Wednesdays and Fridays at 0900hrs and says processing takes within two working days.
We can add this to your Kenya birth certificate from abroad job before courier. Some countries also want their own embassy in Nairobi to stamp the document after the ministry.
Kenya was not on the Hague Apostille Convention status table when we checked. So read our guide to apostille in Kenya to see how the authentication route works instead.
A simple plan for parents with a baby born overseas
New parents have enough on their plate. So here is a calm order of events that works for most families seeking a Kenya birth certificate from abroad for a newborn.
In the first weeks
Get the local birth certificate from the country where your baby was born. Then ask the hospital for the medical notification or certificate signed by the doctor, nurse or midwife.
If any document is not in English, arrange a certified English translation. The Huduma page lists this as a requirement, so do it early.
Before you apply
- Check that both parents’ names match across passports, IDs and the local certificate
- Find your own Kenyan birth certificates, or a certified copy
- Bring your marriage certificate, if you are married
- Decide whether to apply at your mission or through Sheria House in Nairobi
When you apply
Fill in the form carefully, then use the exact spelling of your baby’s names that you want on every future Kenyan document.
Keep copies of every page and every receipt. We ask for photos of them so we can follow up on your behalf.
After you apply
If the file is in Nairobi, we visit and follow up. When the Kenya birth certificate from abroad is issued, we collect it where allowed, photograph it and courier it to you.
Then think about the passport
Many parents apply for the certificate so the baby can get a Kenyan passport. Passport applications run through eCitizen and your nearest mission, so having the certificate first usually saves you a second round of paperwork.
This order avoids the most common trap. Parents often rush the passport and only then learn the Kenya birth certificate from abroad is still missing.
Who usually asks us for a Kenya birth certificate from abroad?
Every family is different, but most requests fall into a few groups.
- New parents overseas registering a baby so the child can get a Kenyan passport
- Adults renewing passports who find the old certificate is missing or damaged
- Applicants for citizenship or residence abroad who must show their birth record
- People claiming pensions or inheritance where a parent’s birth or death record is needed
- Students applying to schools that ask for a birth certificate copy
- Families of people who have passed on, gathering records for an estate
A Kenya birth certificate from abroad often sits inside a bigger task. If you are renewing a passport or applying for an ID too, tell us, so we can plan the papers together so one courier covers everything.
You may also find our pages for Kenyans in the UK and Kenyans in the USA useful for errands at home.
What does it cost?
We quote in US dollars and charge our own fee only for a Kenya birth certificate from abroad. Government fees, translation and courier costs are added at cost with receipts.
| Service | Our fee (USD) |
|---|---|
| Errand in Nairobi, such as a registry visit or follow up | from $50 |
| Document pickup and courier abroad | $75 plus courier at cost |
| Urgent same week service | adds 25 percent |
A simple replacement with one registry visit and collection is usually an errand plus courier. However, late registration or corrections need more visits, so we quote those after we see your papers.
If a licensed Kenyan advocate is needed, their fee is separate and shown on your quote before you agree. That keeps your Kenya birth certificate from abroad budget clear from day one.
You get a written quote first and pay only after you approve it. Clients can pay by card, PayPal, bank or M Pesa. We confirm payment options with your quote.
Every published fee is on our pricing page.

Questions people ask
Can I get a Kenya birth certificate from abroad without flying home?
In most cases, yes. Applications are made online or through a Kenyan mission and we handle the Nairobi visits, follow ups and courier. Some legal corrections need an advocate, whom we bring in.
Where are births abroad registered?
Huduma Kenya’s service page says registration of births outside Kenya is available at Sheria House in Nairobi. It adds that the completed application can also be submitted at Kenya missions abroad.
What does registering a birth abroad cost?
The Huduma service page lists a fee of KSh 60 and a timeline of 10 days. Missions may also charge their own processing fee, so we confirm current figures before you apply.
How do I replace a certificate I lost years ago?
You usually apply for a duplicate, supported by a copy, a police abstract or a search form. The search form then helps the registry find your entry using names, dates and place of birth.
Can you fix a spelling mistake on my certificate?
Some corrections need only supporting papers, while others need a court order. We bring in a licensed Kenyan advocate for the legal side and handle the running ourselves.
Will the certificate work in another country?
Many offices accept it as it is, but some want it authenticated. The Ministry of Foreign Affairs authenticates birth certificates and lists KSh 200 per copy. We can do that run before courier.
